Requesting Information for Insurance Companies – Crime involved /not standard RTC

Following the changes to Government advice, from Tuesday 24 March our offices will not be staffed other than for essential working. We will therefore not be able to collect correspondence sent via post.

All our services remain up and running as normal with staff working from home.

Request for the disclosure of information for the purpose of insurance claims are dealt with directly between insurers and the Police. Claimants should contact their insurers for further details.

The Memorandum of Understanding (MOU) between the National Police Chiefs  Council in conjunction with the Office of the Information Commissioner Office (ICO) and the Association of British Insurers (ABI), permits Insurers and Loss Adjusters to request information from a police force for the purposes of validating a claim.

South Wales Police are not permitted to disclose any details (including confirmation of the occurrence number or status of investigation) via the telephone, e-mail or post until a legitimate application and the appropriate fee, consent or evidence has been received.

Furthermore, the MOU states that ‘the Police will not acknowledge letters registering the insurer’s interest in a particular case. Insurers are asked to keep these letters to a minimum, and not send them as a matter of routine, as many Forces do not have the resources to deal with large volumes of correspondence’.

How to make an Insurance Disclosure Request

In order to submit a legitimate Insurance Disclosure request to South Wales Police, please;

  • Complete the relevant application form (see below)
  • Ensure your claimant and/or the reporting person has signed the form
  • Provide the appropriate fee (see below)
  • Return the application to South Wales Police

Before submitting your Appendix D(b) application please ensure that the claimant and any other individual involved in the reporting of the occurrence signs the form in order to demonstrate they consent to the disclosure of the information. We are not permitted to disclose the personal information of any party unless we have their express consent.

Please note that all Insurance Disclosure Requests must be made in writing and sent via the post to South Wales Police. We do not accept Insurance Disclosure Requests over the telephone or via e-mail.
